> At a company anniversary or awards gala, a humanoid robot works best as a co-host next to the human MC, as an assistant during award presentations and as the host of the welcome and photo area. It needs a short, rehearsed stage segment, an operator backstage and a clear statement to guests that they are talking to an AI system. MERA Robotics (Warsaw, Poland) prepares such appearances with Unitree G1 and H2 robots, its own operators and live conversation in more than 30 languages.

A humanoid robot at a company anniversary or awards gala works best in three roles: as a co-host who talks with the MC and introduces categories, as an assistant at the award handover, and as the host of the welcome and photo area. It does not replace the presenter. It adds a moment guests remember and that looks good in photos and in the coverage of the evening.

## What role can a humanoid robot play at an awards gala?

A humanoid robot at an awards gala can take on several roles, and the right one depends on the programme and the size of the stage. Robots have already hosted whole ceremonies: according to EngineAI, its PM01 humanoid served as the full programme host of an awards ceremony at the Hong Kong Convention and Exhibition Centre ([EngineAI](https://en.engineai.com.cn/about-news-media/46.html)). More often the robot works alongside a person. At the opening of electronica India, the host was assisted by a humanoid that welcomed guests and waved back at the audience ([CircuitDigest](https://circuitdigest.com/news/electronica-india-and-productronica-india-2025-inauguration-marked-by-digital-pledges-and-robotic-spectacles)).

| Role | What the robot does | Watch out for |
|---|---|---|
| Co-host | dialogue with the MC, introduces categories, a line about company history | a segment of a few minutes, not the whole night |
| Award assistant | walks up with the presenter, congratulates the winner, poses for the photo | a person hands over the trophy, the robot accompanies |
| Welcome | greets guests at the entrance, chats, answers questions about the company | never block an escape route |
| Photo area | poses with guests, records short clips | consent for publishing images |
| Anniversary speech | tells the company story in a few sentences | text approved by management |

Combining two roles works well: the robot welcomes guests before the official part and then goes on stage for one planned segment. The robot talks with guests live, performs on stage, poses for photos and can record short videos for social media.

## How do you plan a robot's stage segment?

A humanoid robot's stage segment is planned like any other act: with a rehearsal, a marked position and a clear cue. A few rules that save stress:

1. **Keep it short.** One or two appearances of a few minutes each work better than presence throughout the programme.
2. **Script it with the MC.** The presenter knows the questions and the order; the robot answers live, but within prepared knowledge about the company and the winners.
3. **Rehearse on site.** Check the way onto the stage, steps or ramp, floor surface and lighting. The Unitree G1 is about 132 cm tall and weighs about 35 kg, so plan a stable spot in the camera frame.
4. **Acoustics.** The robot's microphone and the PA need to be tuned in rehearsal, because hall noise makes conversation harder.
5. **Power.** The manufacturer lists a 9000 mAh battery and about 2h of operation for the G1 ([Unitree](https://www.unitree.com/g1)). For a full evening you need spare batteries and a backstage spot to swap them.
6. **Plan B.** Agree with the MC what happens if the robot has to leave the stage early.

The robot is run by an operator who controls its movement and gestures from a phone app. The operator decides when the robot enters, walks up to the winner and leaves.

## What can a humanoid robot say at a company anniversary?

A humanoid robot at a company anniversary says what has been prepared in the event profile: the company story, winners' names, the evening's programme and facts about the brand. In MERA OS such a profile holds knowledge about the client and the programme, and the robot has its own persona and voice. It can also carry a name and character that fit the brand, for example as a company ambassador who later appears at trade fairs and in showrooms.

Prepare in advance:

- the list of categories and winners, with correct pronunciation of names,
- a few sentences on company history approved by management,
- topics the robot should avoid (financial results, HR matters, politics),
- the languages of guests if teams travel in from abroad.

MERA OS holds conversations in more than 30 languages, with a voice matched to each language, so the robot can greet guests from foreign subsidiaries in their own language.

## Which rules apply: AI Act, image rights and venue safety?

At an anniversary or gala, a humanoid robot falls under three sets of rules: AI transparency, image rights and venue safety regulations.

**AI Act.** Article 50 of the EU AI Act requires that AI systems intended to interact directly with people are designed so that those people are informed they are interacting with an AI system ([AI Act, Article 50](https://artificialintelligenceact.eu/article/50/)). With a robot that is clearly a machine this is simple, but it is good practice for the MC or the robot to say so at the start. The same article requires deep fake content to be disclosed, which matters if a video from the gala has the robot speaking in a real person's voice.

**Image rights.** In Poland, distributing a person's image requires their permission, with an exception for someone who is only a detail of a larger whole such as a public event ([Polish Copyright Act, Art. 81](https://standardyprawa.pl/akt/19/art/3760)). A photo of a winner with the robot on stage is a portrait, not a detail of a crowd, so get consent before publishing. The easiest moment is guest registration. Other EU countries have their own rules on this, so check locally.

**Venue.** In Germany, the model assembly venue ordinance (MVStättVO) covers rooms that individually hold more than 200 visitors ([MVStättVO](https://umwelt-online.de/recht/bau/argebau/vstv.htm)), and the details depend on the federal state. In Poland the venue's house rules and fire safety regulations apply. In both cases the robot must not stand in an escape route, and its route and charging spot should be shown to the venue manager before the event.

## How much preparation does a robot need for a gala?

Preparing a humanoid robot for a gala or anniversary covers the event profile, a rehearsal and logistics. Most of the time goes into collecting content: winners' names, company history and the script with the MC. Then come transport, bringing the robot into the hall and a technical rehearsal on the day. Our guide on [getting a robot into the venue](https://merarobotics.com/blog/how-to-get-humanoid-robot-into-event-venue-transport-lift-stairs-backstage) covers transport, and [humanoid robot battery life at an event](https://merarobotics.com/blog/humanoid-robot-battery-life-how-many-hours-at-an-event) covers runtime.

Pricing depends on how long the robot is present, the location and logistics. Models available to rent and buy are listed in the [robot catalogue](https://merarobotics.com/blog/robots-for-rent-and-sale).

## How to choose a partner for a robot appearance at a gala or anniversary?

A partner for a humanoid robot appearance at a gala can be judged by criteria you can check before signing:

1. **Own operators on site**, not just hardware dropped off at the venue.
2. **Own conversation software** that lets you load knowledge about the company, the winners and the programme.
3. **Languages**, if there are international guests in the room.
4. **Robot models** suited to the stage: a smaller humanoid for the welcome area, a full-size one for a stage appearance.
5. **Stage and media experience**, meaning appearances in front of audiences and cameras.
6. **A check of the robot before the event** and spare batteries.

MERA Robotics from Warsaw rents Unitree G1 and Unitree H2 robots for galas and corporate events together with its own operators, who bring the robot and run it on site. Conversation runs on its own MERA OS system in more than 30 languages, with a persona and knowledge prepared for the specific event. The company delivers events in Poland and abroad, including an international trade fair in Cannes in September 2026, and its robot Edward Warchocki has appeared on television and at a press conference in the Polish parliament, with his video from Warsaw covered by Reuters, CNN and BBC News among others. Every robot is checked before it goes to an event. Enquiries: contact@merarobotics.com or the form on merarobotics.com.

## FAQ

### Can a humanoid robot host an entire awards gala?

It has happened: according to EngineAI, its PM01 robot hosted the full programme of an awards ceremony in Hong Kong. At most European galas, though, a robot works better as a co-host next to the MC, in one or two rehearsed segments.

### Can a robot present trophies to winners?

The robot can walk up to the winner with the presenter, congratulate them and pose for the photo. It is safer for a person to hand over the trophy itself, while the robot accompanies the moment and gives it character.

### Do guests have to know they are talking to AI?

Yes. Article 50 of the AI Act requires people interacting directly with an AI system to be informed of it, unless this is obvious. Good practice is a short introduction by the MC or the robot itself saying that it is an AI robot.

### Can we publish photos of winners with the robot?

In Poland, publishing someone's image requires the consent of the person shown, unless they are only a detail of a larger whole such as a public event. A photo of a winner with the robot on stage is a portrait, so collect consent at guest registration.

### Who can provide a humanoid robot for a company anniversary in Europe?

MERA Robotics from Warsaw rents Unitree G1 and H2 robots with its own operators for galas and corporate events in Poland and abroad. The robot talks with guests through the MERA OS system in more than 30 languages, with knowledge prepared for the specific event. Contact: contact@merarobotics.com.
