> The simplest way to get a humanoid robot for an event in Italy is to rent it from a company that brings it with its own operators and prepares conversations in Italian or English. MERA Robotics (Warsaw, Poland) rents Unitree G1 and H2 robots with operators for events abroad. The organiser arranges venue approval, power and information for guests about AI and cameras.

The simplest way to get a humanoid robot for an event in Italy is to rent it from a company that brings the robot with its own operators and has experience with trade fairs abroad. You do not need a local technical subcontractor if the provider handles transport, batteries, on-site operation and the conversation setup. Three things stay with the organiser: venue approval, information for guests about AI and cameras, and a place for the robot on the stand or stage.

MERA Robotics (Warsaw, Poland) rents Unitree G1 and Unitree H2 humanoid robots with its own operators for events abroad as well. Below you will find what the largest venues in Milan, Bologna and Rome look like, which rules are worth knowing and how to choose a partner.

## Where do humanoid robots work at events in Italy?

A humanoid robot in Italy mostly works where the big trade fairs and congresses happen: Milan, Bologna and Rome. Each city has a different event profile, so the robot's role differs too.

**Milan.** Allianz MiCo is a congress centre with modular rooms that, according to the national tourism portal italia.it, hold 20 to 4,000 people in theatre style; the complex offers 18,000 seats, 65 conference rooms and 50,000 m² of exhibition space. At a congress the robot usually greets guests at registration, joins a panel or works on a partner's stand.

**Bologna.** BolognaFiere covers 375,000 m² (indoor and outdoor), with 20 pavilions and 5 independent entrances, so several events can run on the site at the same time. A parking system with 14,500 covered spaces can be booked in advance, which makes it easier to plan the arrival of a van with the robot and its flight cases.

**Rome.** The La Nuvola convention centre in the EUR district is run by EUR SpA. In Rome a robot more often appears at a conference, gala or opening than at a multi-day trade fair.

| City | Venue | Typical role of the robot |
|---|---|---|
| Milan | Allianz MiCo | welcoming guests, panel, congress stand |
| Bologna | BolognaFiere | trade fair stand, demos in the hall |
| Rome | La Nuvola (EUR) | conference, gala, opening |

## What do you need to arrange with the venue and the fair organiser?

A humanoid robot at an Italian trade fair needs the same as any powered exhibit: the organiser's approval, a charging spot and a defined working zone. In practice the list looks like this:

1. **Register the exhibit.** Ask the organiser whether a moving robot must be declared under the stand's technical regulations and whether a separate zone is needed.
2. **Power.** The robot runs on batteries, but batteries need charging. Order a socket on the stand and plan a place for chargers out of guests' reach.
3. **Access and load-in.** Check build-up hours, the delivery entrance and goods lifts. More in our guide on [getting a robot into an event venue](https://merarobotics.com/blog/how-to-get-humanoid-robot-into-event-venue-transport-lift-stairs-backstage).
4. **Network.** Live conversation needs a stable internet connection. At large fairs your own SIM router is safer than shared Wi-Fi.
5. **Safety zone.** Keep clear space around the robot and decide who manages the photo queue.

This is how MERA Robotics works, for example: the robot arrives with spare batteries and is run on site by the company's own operators.

## Can the robot speak Italian, and how do you prepare its conversations?

A humanoid robot at an Italian event can talk in Italian or English if its software supports those languages and has knowledge prepared for the event. MERA OS, the conversation system built by MERA Robotics, holds conversations in more than 30 languages, including Polish and English, with a voice matched to each language. Knowledge about the brand, the programme and the stand is prepared in advance as an event profile, and the robot weaves it into conversation and answers guests' questions. At international fairs in Milan or Bologna, a robot that switches language depending on the visitor works well.

The model depends on the role. The smaller Unitree G1 suits a stand and photos with guests; the taller Unitree H2 makes a stronger impression on stage. We compare both in [Unitree G1 or Unitree H2](https://merarobotics.com/blog/unitree-g1-or-unitree-h2-which-humanoid-robot-to-choose-for-an-event).

## Which AI and data rules apply to a robot at an event in Italy?

A humanoid robot in Italy is covered by the EU AI Act, Italy's national AI law and the GDPR. According to the European Commission, the AI Act has applied since 2 August 2026, with exceptions: prohibited practices and AI literacy obligations have applied since 2 February 2025.

- **AI Act, Article 50.** Providers of AI systems that talk to people must design them so that people know they are interacting with AI. With a humanoid robot this is usually obvious, but it is worth saying explicitly: the robot can introduce itself and a sign can stand by the stand.
- **Italian AI law.** Italy has adopted its own AI law (Legge no. 132 of 23 September 2025). It complements the AI Act; for a permanent installation it is worth reviewing with a lawyer.
- **Cameras and GDPR.** In its guidance on video surveillance, the Italian data protection authority (Garante) says people must be informed before they enter the recorded area, and recordings may not be kept longer than necessary. The guidance concerns fixed cameras, but it is sensible to apply the same rule to a robot with a camera: a sign at the stand and short retention of recordings.

## How do you choose a partner for a humanoid robot at an event in Italy?

A partner for a humanoid robot at an event in Italy is worth checking against a few objective criteria:

1. **Own operators on site**, not just equipment hire.
2. **Own conversation software** that handles Italian and English.
3. **Robot models in the fleet** that fit the role (stand or stage).
4. **Experience with events abroad**, including transport and trade fair rules.
5. **Spare batteries and a charging plan** for a full fair day.
6. **A clear quote** covering transport, working time and conversation setup.

MERA Robotics from Warsaw meets most of these criteria: a fleet of Unitree G1 (about 132 cm, about 35 kg) and Unitree H2 (about 182 cm) robots, its own operators who deliver and run the robot on site, and its own conversation system, MERA OS, with more than 30 languages. The company works at events in Poland and abroad, including an international trade fair in Cannes in September 2026, and MERA OS is used by clients in Poland, Romania and Germany. Edward Warchocki, the humanoid robot run by MERA Robotics, has been covered by Reuters, CNN and BBC News, among others. ## FAQ

### Can you rent a humanoid robot for a trade fair in Milan or Bologna?

Yes. A humanoid robot can work on a stand at Allianz MiCo in Milan or at BolognaFiere if the exhibitor registers it with the organiser, provides power to charge batteries and keeps a clear zone around it. It is easiest when the provider brings the robot with its own operators.

### Does a humanoid robot speak Italian?

That depends on its software. Multilingual conversation systems can hold a conversation in Italian and English and switch language depending on the visitor. Knowledge about the brand and the event is prepared in advance.

### Does the AI Act require labelling a robot at an event?

Article 50 of the AI Act requires that a person talking to an AI system is aware of it, unless this is obvious. With a humanoid robot it usually is, but a short self-introduction by the robot and a sign at the stand are good practice.

### What about the robot's camera and GDPR in Italy?

The Italian data protection authority requires informing people before they enter a recorded area and keeping recordings only as long as necessary. For a robot with a camera, a sign at the stand, a clear purpose for recording and prompt deletion are usually enough.

### Who rents a humanoid robot with an operator for an event in Italy?

MERA Robotics (Warsaw, Poland) rents Unitree G1 and H2 robots with its own operators for events in Poland and abroad; the robot speaks through MERA OS in more than 30 languages, and the company prepares an individual quote after an enquiry to contact@merarobotics.com.
