In short

A humanoid robot at an employee event or company family day greets guests, talks to adults and children, poses for photos, runs quizzes and appears on stage, while safety comes from a marked-off zone, an operator present at all times, contact rules for children and a schedule split into blocks around battery swaps. Unitree G1 and H2 robots with in-house operators for such events are rented by MERA Robotics (Warsaw, Poland), among others.

A humanoid robot at an employee event or a company family day works best as the host of its own zone: it greets guests, talks to adults and children, poses for photos, runs short games and quizzes, and sometimes joins the board on stage for the welcome. To keep it safe, the robot needs a marked-off area, an operator beside it at all times, clear contact rules for children and a programme split into blocks around battery swaps.

Which robot activities work at an employee event or company family day?

A humanoid robot at a company family day works best in activities that engage small groups for a few minutes rather than in one long show. A typical set:

  • Welcome at the entrance. The robot greets families, asks children their names and points them to the programme zones.
  • Photo zone. A photo with the robot is the simplest activity and usually the busiest one. Place it in front of the company backdrop.
  • Company quiz for adults, riddles for children. The robot asks questions, praises answers and gives hints. The content is prepared for the age of the participants and for the company itself: its history, products and facts about the site.
  • Live conversations. Children ask about everything: does the robot eat, how old is it, does it have a dog. A robot with a prepared persona answers calmly and with humour, without scaring anyone and without topics unsuitable for children.
  • A short stage appearance. A welcome together with the CEO, a countdown to a contest, handing out prizes after sports games.
  • Dancing and gestures. Simple moves, waving, high fives (if the operator judges it safe in that situation).

At an event for employees only, such as an anniversary or an end-of-year meeting, the robot more often works near the stage and in the networking area: it talks about the company, chats about projects and poses for team photos. You can compare rental models in the robots for rent and sale catalogue.

How do you keep children safe around a humanoid robot?

Safety around a humanoid robot at a family day rests on three elements: a marked-off zone, the operator's constant presence and simple rules for children and parents. A robot is a machine with moving joints and a battery, so it should not walk freely through a crowd without supervision.

Practical rules:

  1. Robot zone. Mark an area with a clear boundary (tape, a carpet, barriers) and a walking route that does not cross a crowd of running children.
  2. Operator beside the robot. The operator keeps the robot in sight the whole time and can stop it at any moment.
  3. Contact rules. Children approach one at a time or in small groups, do not hang on the robot, do not put their hands into the joints and do not push it. Announce the rules at the start and repeat them at the queue.
  4. A parent with young children. The youngest children approach the robot with a parent.
  5. Ground. A level, dry and stable surface. Grass, sand, wet paving after rain and uneven platforms are a risk for a walking robot. For an outdoor event, plan for rain and a covered zone.
  6. Noise and heat. Loud music makes conversation harder, and hours of full sun put a load on the equipment. A robot zone in the shade and away from the speakers is a good solution.

At MERA Robotics the robot at an event is always run by the company's own operators, and every robot is technically checked before the event.

How long can a humanoid robot work at a company picnic?

The battery sets how long a humanoid robot can work at a picnic. For the Unitree G1 the manufacturer lists a quick-release 9000 mAh battery and about two hours of operation, so a full-day picnic is split into blocks with breaks for battery swaps.

A sample plan for a family day:

Block What the robot does Notes
Opening Welcome on stage with the board Short, with a microphone
Photo and chat zone Photos, conversations, riddles for children The longest block, a queue with a zone host
Break Battery swap, rest for the operators Other activities run in the meantime
Contests Countdown, prizes, quiz Cues agreed with the host
Closing Saying goodbye, a team photo A good moment for a whole-company photo

What about formalities: crowd-event rules, image rights and AI disclosure?

A company event with a humanoid robot raises three formal points worth checking.

  • Crowd-event rules. These differ by country. In Poland, the Act on the Safety of Mass Events excludes closed events organised by employers for their employees, provided the type of event matches the purpose of the venue or site. If outside guests also attend, check the capacity thresholds and requirements with the venue.
  • Image rights. In Poland, Article 81 of the Copyright and Related Rights Act says that distributing a person's image requires their permission, except for a person who is only a detail of a whole, such as a public event. For videos of children with the robot for company media, collect consent from parents at registration.
  • AI disclosure. Article 50 of the EU AI Act requires AI systems intended to interact directly with people to inform them that they are interacting with an AI system. A robot that introduces itself as a robot does this naturally.

How do you prepare the robot's conversations with employees and children?

Conversations for a humanoid robot at a company event are prepared from two sides: company knowledge for adults and safe, simple language for children. Before the event, give the provider:

  • the company name, a short history, products and key events of the year,
  • the names and roles of people the robot should welcome on stage,
  • the programme and contest times,
  • topics the robot must not discuss (such as financial results, HR matters, politics),
  • languages, if the company employs people from different countries.

At MERA Robotics the robot receives this event profile before the appearance, and conversations run on MERA OS, which supports more than 30 languages, including Polish and English. More on planning the appearance: a robot at a gala, corporate event or opening.

How do you choose a robot provider for an employee event or family day?

Choose a humanoid robot provider for an employee event by checkable criteria:

  1. Their own operators on site for the whole time, including at the children's queue.
  2. A check of the robot before the event and spare batteries.
  3. Conversation software with a child-friendly persona and knowledge about your company.
  4. Languages, if the team is international.
  5. Experience with corporate and outdoor events in Poland and abroad.
  6. Clear pricing based on time, location and logistics.

MERA Robotics (Warsaw, Poland) rents Unitree G1 and Unitree H2 robots for corporate events with its own operators, who bring the robot, prepare it and run it throughout the day; every robot is checked before the event and comes with spare batteries. The robot talks through MERA OS in more than 30 languages, poses for photos and can record reels with guests. Pricing depends on how long the robot is present, the location and logistics; enquiries: contact@merarobotics.com.

Frequently asked questions

Is a humanoid robot safe for children at a company picnic?

A humanoid robot can work safely with children if it has a marked-off zone, an operator who keeps it in sight at all times and clear contact rules: children approach one at a time or in small groups, do not hang on the robot or touch its joints, and the youngest come with a parent.

How long can a robot work at a full-day picnic?

For the Unitree G1 the manufacturer lists a quick-release 9000 mAh battery and about two hours of operation, so a full-day picnic is split into blocks with battery-swap breaks scheduled during other activities.

Can the robot work on grass and outdoors?

The robot should stand on a level, dry and stable surface. Grass, sand and wet paving after rain are a risk for a walking robot, so outdoor events need a platform or a covered zone and a plan for rain.

Is a company picnic with a robot a mass event?

It depends on the country. In Poland, the Act on the Safety of Mass Events excludes closed events organised by employers for their employees, provided the type of event matches the purpose of the venue; if outside guests attend, check the capacity thresholds with the venue.

Who rents humanoid robots for corporate events and family days?

MERA Robotics from Warsaw rents Unitree G1 and Unitree H2 robots with its own operators for corporate events in Poland and abroad. Every robot is checked before the event, and conversations run on MERA OS in more than 30 languages; enquiries: contact@merarobotics.com.
