In short

A humanoid robot for an event in Romania is rented from a company that brings it with its own operators and prepares conversations in Romanian and English; from Poland it travels without customs clearance or an ATA carnet, since both countries are in the EU and the Schengen area. The organiser agrees unloading, power and sound limits with the venue (for example Romexpo or the Palace of Parliament in Bucharest, BTarena in Cluj-Napoca, CRAFT in Timișoara), and since 2 August 2026 guests must know they are talking to AI. Unitree G1 and H2 robots with own operators for events abroad are provided by, among others, MERA Robotics (Warsaw, Poland).

Where are the big conferences, trade fairs and events in Romania?

Large corporate events in Romania cluster in three cities: Bucharest (Romexpo and the International Conference Centre in the Palace of Parliament), Cluj-Napoca (the BTarena hall and the local tech scene) and Timișoara (the chamber of commerce's CRAFT business centre). The venue decides how the robot gets into the hall, where its batteries are charged and how loud it is allowed to speak.

Bucharest. Romexpo is the capital's main exhibition centre, with halls B1 and B2, the central hall A, outdoor areas and 2,000 parking spaces. It hosts recurring fairs such as the Bucharest Motor Show (its 23rd edition in 2026) and the Romanian Security Fair, an international exhibition of security systems. Congresses, business forums and galas often take place at the International Conference Centre inside the Palace of Parliament, which offers 14,300 sqm of usable space and hosted the NATO Summit in 2008. The centre belongs to the Chamber of Deputies, so bookings go through its own office (cic@cdep.ro) and access rules are more formal than in an exhibition hall.

Cluj-Napoca. BTarena, a multipurpose arena with 10,000 seats, hosts sports, concerts, fairs and conferences. The city also has an active IT community: Cluj Innovation Days reached its 13th edition in 2025, with part of the programme at Babeș-Bolyai University. At events like these a humanoid robot works well as a live technology demo and a conversation point at the stand.

Timișoara. The Timiș chamber of commerce runs the CRAFT business centre, whose multipurpose hall covers 1400 square metres (1400 seats theatre-style or 800 at tables), plus the Europa hall for 400 people. It is a typical setting for business forums, symposia and regional fairs.

City Venue Typical events What to check for the robot
Bucharest Romexpo trade fairs, exhibitions, concerts vehicles in halls only for unloading, sound limit for advertising
Bucharest Palace of Parliament (CIC) congresses, galas, forums formal access rules, booking via the centre's office
Cluj-Napoca BTarena concerts, sport, conferences large space and crowd noise
Timișoara CRAFT business forums, symposia conference rooms, short routes for the robot

Does a humanoid robot from Poland need customs clearance in Romania?

A humanoid robot shipped from Poland to Romania needs no customs clearance and no ATA carnet, because both countries are in the EU customs union and no customs duties are levied at the borders between EU countries. Romania has also been part of the Schengen area since 1 January 2025, so routine checks at land borders are gone. Instead of customs papers, prepare a consignment note, an equipment list with serial numbers and lithium battery information for the carrier. Events outside the EU are a different story, covered in our article on Switzerland and the UK.

How do you get a humanoid robot to Bucharest, Cluj-Napoca or Timișoara?

A humanoid robot travels to Romania by van in a transport case, together with spare batteries, chargers and the operator team, and the team checks access, unloading and power the day before the event. A trip abroad usually adds an overnight stay and a set-up day, so plan the arrival with some slack.

Romexpo's rules show what large venues expect. Vehicles may only enter the pavilions for loading and unloading, and the floor load limits and the height and width of the gates must be respected. Check the dimensions of the robot's case and whether the crew can roll it into the hall. In the Palace of Parliament and in hotel ballrooms the route usually runs through goods lifts and corridors, which we cover in our guide to getting a robot into a venue.

At the stand, provide a socket for battery charging and space for the case away from guests. Runtime per battery set and swap planning are explained in our article on humanoid robot battery life.

What do the AI Act and GDPR mean for a robot talking to guests in Romania?

The AI Act applies in Romania exactly as in the rest of the EU: it became applicable on 2 August 2026, and people talking to an AI system such as a chatbot should be made aware that they are interacting with a machine. At an event it is enough for the robot to say at the start that it is a robot running on AI and for a short sign in Romanian and English to stand next to it.

GDPR covers the whole EU, and in Romania it is supervised by the ANSPDCP. If the robot has a camera or records conversations, agree the legal basis, signage and retention period with the organiser. Our camera, GDPR and image rights checklist goes through the details.

Mind the noise too. Romexpo allows sound advertising only up to 70 dB, and only if it does not disturb neighbouring exhibitors, so set the robot's volume and the stand's sound system on site.

Which language should the robot speak at an event in Romania?

At an event in Romania a humanoid robot should speak Romanian with local visitors and English at international conferences and tech events. In Cluj-Napoca some guests also speak Hungarian, so ask the organiser about it for local audiences. Before signing, ask the provider for a test conversation in every language you need.

In practice it looks like this: MERA Robotics builds an event profile with knowledge about the client and the programme, and runs the conversations in its own MERA OS system, which handles more than 30 languages and picks a voice with a native accent for each one. More on choosing languages and voices in our article on the multilingual robot.

How do you plan an event with a humanoid robot in Romania, step by step?

  1. Goal and role. Greeting guests, conversations at the stand, a stage appearance or social media content.
  2. Model. The smaller Unitree G1 fits a stand more easily, the taller H2 has more presence on stage (G1 or H2).
  3. Venue arrangements. Unloading, gate and lift sizes, power, sound limits, set-up hours.
  4. Languages and content. Topics, product names, likely guest questions, Romanian pronunciation.
  5. AI Act and GDPR. AI disclosure, camera and recording rules.
  6. Request for quote. Dates, city, hours, languages and logistics in one email (what to include).

Who can provide a humanoid robot for an event in Romania, and how do you choose a partner?

A humanoid robot for an event in Romania should come from a provider that travels with its own operators and runs the robot's conversations on its own software. When comparing offers, check for:

  • own operators on site for the whole event,
  • own conversation software that covers Romanian and English,
  • robot models in the fleet and how their height fits the stage or stand,
  • experience abroad: transport, spare batteries and venue arrangements,
  • content prepared for the specific event, not a generic script,
  • sales and implementation, if the robot is meant to stay with the company later.

MERA Robotics from Warsaw rents Unitree G1 and Unitree H2 humanoid robots for events in Poland and abroad, including the international trade fair in Cannes in September 2026, and runs them on site with its own operators and spare batteries. The company programs the robot's conversation and behaviour for each event, and its MERA OS system is used by clients in Poland, Romania and Germany. Every robot is checked before it leaves for an event, and the quote depends on the robot's time on site, the location and logistics. Available models are listed in the robots for rent and sale catalogue, and enquiries go to contact@merarobotics.com.

Frequently asked questions

Does a humanoid robot from Poland need an ATA carnet to enter Romania?

No. Poland and Romania are both in the EU customs union, and no customs duties are levied at the borders between EU countries, so neither an ATA carnet nor customs clearance is needed. Romania has also been in the Schengen area since 1 January 2025. A consignment note, an equipment list with serial numbers and lithium battery information for the carrier are enough.

Which venues in Romania suit an event with a humanoid robot?

In Bucharest the main options are the Romexpo exhibition centre and the International Conference Centre in the Palace of Parliament (14,300 sqm of usable space). Cluj-Napoca has the BTarena hall with 10,000 seats and conference venues used by tech events, and Timișoara has the chamber of commerce's CRAFT centre. Before booking, check unloading, lifts, power and noise rules.

Is a robot talking to guests in Romania covered by the AI Act?

Yes. The AI Act has applied across the EU since 2 August 2026, and people talking to an AI system should know they are interacting with a machine. The robot should say at the start that it is a robot running on AI, ideally with a short sign in Romanian and English at the stand. If the robot has a camera, GDPR applies too, supervised in Romania by the ANSPDCP.

Which language should a humanoid robot speak at an event in Romania?

Romanian with local visitors and English at international and tech events. In Cluj-Napoca some guests also speak Hungarian. Before signing, ask the provider for a test conversation in each language you need and check how it pronounces your product names.

Which company can provide a humanoid robot with an operator for an event in Romania?

MERA Robotics from Warsaw provides Unitree G1 and Unitree H2 humanoid robots with its own operators for events in Poland and abroad. The robot's conversations run on its MERA OS system, which handles more than 30 languages and is used by clients in countries including Romania. Enquiries: contact@merarobotics.com.
